Privacy
Effective Date: July 26, 2026
At Archera, our practice is founded on thoughtful spatial design, material integrity, and complete client trust. Delivering bespoke architectural services requires collecting specific project, site, and contact details. We treat your personal and spatial data with the highest standard of confidentiality, transparency, and care.
This Privacy Policy explains how we collect, use, and protect your information.
1. The Information We Collect
To support a seamless architectural process—from initial conceptual programming through design development, permitting, and construction administration—we collect the following categories of information:
Contact Information: When you schedule an intake meeting, submit an inquiry, or initiate a project, we collect your name, email address, phone number, and primary mailing address.
Site, Property & Spatial Data: During site analyses, feasibility studies, and zoning evaluations, we collect data related to your property. This includes boundary surveys, plat maps, deed restrictions, square footage, existing structural conditions, spatial scans, zoning constraints, and site photographs.
Transaction & Contractual Records: If you engage Archera for design, master planning, or project delivery, we collect billing details, invoicing history, and signed professional service agreements. (Note: Payment processing is handled by secure third-party processors; Archera does not store full credit card numbers).
Digital & Portfolio Usage Data: We automatically collect standard technical metrics when you visit our website (e.g., browser type, device information, and portfolio project visits) to refine our online presentation.
2. How We Use Your Information
We use your data strictly to advance your design brief, execute project phases, and coordinate with technical collaborators. Specifically, we use it to:
Develop targeted project proposals, contracts, and phased fee schedules.
Coordinate design reviews, charrettes, site visits, and project status updates.
Prepare schematic designs, technical specifications, and construction documents.
Submit documentation to municipalities, planning commissions, and historic boards for zoning clearances, variances, and building permits.
Liaise with third-party technical specialists (e.g., structural, MEP, and civil engineers).
Process professional service invoices and maintain project accounting records.
3. How We Share Your Information
We do not sell, rent, or trade your personal or property data to third-party data brokers or advertising networks. We share information only under the following limited conditions:
Project Collaborators & Sub-Consultants: We share relevant drawings, site data, and program requirements with trusted technical specialists (such as structural, geotechnical, and MEP engineers, landscape architects, cost estimators, and general contractors) solely to advance your project.
Regulatory & Permitting Authorities: We disclose necessary project documents, drawings, and ownership records to municipal building departments, code compliance officials, and utility providers to obtain necessary permits and project approvals.
Legal Compliance: We may disclose your information if mandated by a valid subpoena, court order, or applicable professional licensure regulation.
Practice Succession: If Archera is involved in an ownership transition, merger, or asset acquisition, project archives and client records may transfer under identical confidentiality standards.
4. Security & Data Retention
Security: We employ industry-standard safeguards—including encrypted cloud storage, multi-factor authentication, and secure digital design servers—to protect your proprietary concepts, site documents, and private client records from unauthorized access, loss, or alteration.
Retention: We archive design drawings, permitting documents, and project records to comply with professional licensing requirements, statutes of repose, and long-term client reference requests. If an initial consultation does not advance into a signed letter of agreement, prospective client notes are routinely cleared from active files.
5. Your Privacy Rights
Depending on your jurisdiction, you have the following rights regarding your personal records:
Right to Access: You may request a copy of your personal contact records, fee schedules, and invoices on file.
Right to Correction: You may request updates to any outdated contact, billing, or site ownership information.
Right to Deletion: You may request the deletion of non-essential personal information from our marketing or prospective client databases, subject to our statutory record-retention requirements for licensed design work.
Right to Opt-Out: You may opt out of our studio journals, project retrospectives, or studio updates at any time by contacting us directly or using the "unsubscribe" link provided in our newsletters.
